Project Administrator - Texarkana

Essential Functions
  • Project documentation entail collecting signatures on contracts, change orders, additional service requests, subcontractor and vendor agreements.
  • Retrieve and request insurance certificates, W-9s, and ensure all documentation is current on file.
  • Data entry, spreadsheets, database creation, file management.
  • Track materials, organize tickets, and accounting related documents.
  • Review and manage invoice project-related billing, point of contact for billing inquiries.
  • Assist with subcontractor invoices, change orders, and verify completed work with Project Manager before issuing payment.
  • Consult with account receivables regarding outstanding invoices.
  • Assist accounting with reconciliation for project-related purchases, expenses and invoices.
  • Close out projects by closing out files and submit to clients.
  • Collaborate with the Construction Project Manager & Estimator to understand and manage the project costs.
  • Analyze the data from current and past projects to produce cost estimates, labor costs and profitability.
  • Construction staff scheduling, informed of incidentals from job sites.
  • Participate in continuous improvement of processes.
  • Order supplies, answer the phone, run errands.
  • Assist HR with on-boarding new employees.
  • Maintain confidentiality of information and document sensitivity.
 Required Skills and Experience
  • 2+ years of experience in Construction Administration/Coordination.
  • Excellent computer skills MS Office, Excel.
  • Solid understanding of construction practices and procedures.
  • Driver’s license and clean driving record required.

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are normally Monday through Friday 7:00 a.m. to 5:00 p.m.; however, evening and weekend work may be required as job duties demand. 
 
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, scanners, filing cabinets and fax machines.
 
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role; however, filing is required and requires the ability to lift files, open filing cabinets and bending or standing as necessary.
